This page walks you through every required planning decision for a successful cloud migration. We will walk through these items with you during our consultation and you do not need technical expertise to decide how to move forward. Each section is structured so you can:

A) Understand what we are introducing and the value behind it

B) Understand why it matters to your business

C) Make a clear decision required to move forward

D) See TMG’s recommendation where applicable

E) Understand the risk if decisions are delayed or skipped

All applications should be fully independent of the server after migration. Cloud or vendor‑hosted options are preferred for security, scalability, and long‑term support

Risk If Not Addressed

Migration delays or failed cutover

Unsupported or insecure applications remaining in production

2. Users & Computers Migration Plan

What We Are Introducing (and Why)

Decisions We Need Made

Confirm:
- Users included in the migration
- Computers included and mapped to users
- Any shared computers and how they will be handled
- Users physically located outside the United States
Approve:
- Microsoft 365 license types and quantities
- Remote access requirements post-migration (who and to what)
Decide:
- Should end users be local admins on their computers and allowed to install software without admin approval
- Who can create Teams and Sharepoint sites
- Who can share files externally
- Whether any accounts must be excluded from MFA (rare cases only)
- Who on your end should be assigned the separate company admin account to administer M365

TMG Recommendation

All users should have MFA enforced with at least two methods registered (i.e. Microsoft Authenticator App, phone number)
Creation of Teams/SharePoint sites should be restricted to administrators only.
External sharing should be tightly controlled to reduce risk.
Reduce the threat landscape by blocking access outside the United States

Risk If Not Addressed

Security gaps and increased phishing risk
Licensing overages or shortages
User confusion and access issues post-migration

4. File Migration Plan

What We Are Introducing (and Why)

Why This Matters

Decisions We Need Made

Confirm:
- TMG has a strong understanding around how users current access and use their files today
- Server to M365 file mapping documentation
- Archive and file cleanup approach
- Teams / SharePoint / OneDrive end-user training and adoption plan
- SharePoint storage limits (1TB + 10GB / licensed user)
Approve:
- New Teams and channel structure
- File location strategy (Teams vs OneDrive vs SharePoint)
- User permissions
- How external and guest users should be able to collaborate with your users and your environment

TMG Recommendation

Use Teams for collaboration, OneDrive for personal files, and SharePoint for structured document libraries
Archive old data instead of migrating everything
Embrace the shift from a local file share to a true collaboration tool in Teams
Disable "Anyone Links" and force the user to enter the email address of the intended receipient instead of allowing it to be a public link

Risk If Not Addressed

User frustration and produtivity loss
Disorganized file access and duplicate data
Poor adoption of the new environment
Long local computer sync times if files aren't well organized into more consice business units

5. Security, User Experience & Governance

Approve:
- MFA methods and enrollment
- Windows Hello / device security approach
  - Setting up PIN and biometrics (facial recognition, finger printer reader) if computer supports
  - If users currently have passwords saved in their browsers, they know the password to get back in post-profile migration
- Single Sign-On for supported apps
- Website filtering categories
Decide On:
- Data Loss Prevention Policies
  - Auto-encrypt sensitive information withn emails (bank account, social security numbers, and credit card numbers)
- Sensitivity Labels
  - Allow end users to manually encrypt emails within Outlook via the "Label" dropdown when composing a new email
- Retention and archiving rules
  - Retention for both email and files
  - Determine how to retain for (i.e. 7 years)
  - Determine what to do after the retention period (i.e. do nothing or delete)
  - Emails that have been sent or received greater than 2 years ago should be moved into the online archive folder within Outlook to prevent hitting the 50GB mailbox limit
- Email security behavior and quarantine handling
  - Block external mail forwarding
  - Introducing Junk Folder and User Quarantine to keep inboxes clean from phishing emails and unwanted to emails
  - Impersonation protection for key people in the organization

TMG Recommendation

Enforce MFA for all users
Enable Single Sign-On (SSO) wherever possible
Encrypt sensitve data automatically (bank account, social security numbers, credit card numbers, etc)
Use retention and email archiving to prevent mailbox and storage issues

Risk If Not Addressed

Increased risk of data breaches
Regulatory or compliance exposure
Higher long-term support and remediation costs
